Booking software is the tool you’ll spend the most time in as an advisor, so it’s worth knowing what separates a good one from a frustrating one before you commit. Beyond basics, like booking across a range of supplier types, look for features that will help you work faster or make more strategic choices.

What makes a good booking platform for travel advisors?

The differences that matter most come down to a handful of things: how much you can book in one place, commission tracking, the rates and perks available, live rate comparisons, and how easily you can work on the go.

Wide booking inventory

Look for a platform connected to a large network of suppliers so you can make the best client recommendations and save time as you design each trip. The best booking platforms let you book hotels, cruises, tours, flights, and transfers without needing to log into a dozen separate supplier sites.

Your booking platform should have varied inventory within each supplier category too, so you can match clients to the right supplier from one system instead of cobbling a trip together across accounts. That’ll also make it easier to create a proposal or itinerary later—ideally with a built-in proposal tool.

Automatic commission tracking

A platform that records the commission you’re owed as you book and reconciles it against your payments will save hours and protect your income. Suppliers usually pay commission 30–90 days after your client travels, so unpaid commission is easy to lose track of when you’re managing it manually.

The best booking platforms also take care of supplier invoicing for you, so you don’t need to set invoicing and follow-up reminders for every booking you make.

Invoicing and commission handling were a significant draw for Fora advisor Seasen Acevedo-Zullo, who left another host agency to join Fora. “I actually got to a point where I was considering three things,” she says. “One, ‘I'm going to hire an assistant and they’re going to handle all my invoicing.’ Two, ‘I’m going to quit the industry, I hate invoicing so much.’ Number three was, ‘Is there a better way?’”

Preferred rates and client benefits

Part of your value as an advisor is offering what a client can’t get on their own: room upgrades, resort credits, early check-in, and rates negotiated through preferred partnerships. Good booking software surfaces which room rates come with those extras inside the booking flow, so you can see at a glance what you’re able to offer at each property.

Ideally your platform will also list key supplier contacts, so you can quickly reach out to VIP a client or coordinate details like included airport transfers.

The fact that we are in all of these programs shows that the partners trust us with their brand and their property.

Live rates and side-by-side comparison

Prices change often, so you want to feel confident that your platform allows you to compare live rate options across room categories. Quoting a client an accurate, current rate keeps you from over-promising.

Look for side-by-side comparisons that allow you to compare room rates and commission rates across booking types—refundable vs. non-refundable, with client benefits vs. without, and through a preferred partnership vs. a standard booking or OTA like Expedia. This will help you make the best choice for your clients and earn higher base commission.

Track rates after booking to ensure your client is always getting the best rate. For example, in the Fora Portal Price Drop sends automatic alerts when the rate drops on a refundable booking, so you can pass the savings along. Fora advisors have saved their clients over $4.5 million since Price Drop launched in 2025.

Workflow support

Booking software that fits into your business workflow will ultimately save you time and reduce errors in your bookings. Look for these additional features to get the most out of your platform.

  • Mobile booking: Easy booking from your phone means you can confirm a room from a pickup line or lock in a fare while you’re traveling.

  • Integrated CRM: Your booking platform should attach every itinerary to the inquiry form or client it’s for, so you aren’t re-entering client details for every booking, and can create client profiles with preferences and trip history details.

  • Payment collection: Taking a client’s payment details or your service fee from the same system you book with helps you keep clean, secure financial records.

  • AI assistance: Built-in AI support ensures that your AI assistant understands your clients and business context so you don’t have to build that in a separate subscription.

  • Support: Look for booking software backed by a team that can step in, rather than leaving you to sort it out with the supplier alone.

How does travel booking software work at Fora?

At Fora, travel advisors book through Portal, which covers all of the above in one place. You can book across more than 180,000 hotels, cruises, and activities, with access to a network of over 90,000 suppliers and more than 8,000 hotels in preferred partnership programs, so the rates and perks are parts of the booking flow.

“You can compare everything,” Seasen says of Portal. “At my old host, I had to go to all those different sites myself.”

Portal tracks your commission as you book, and Fora invoices suppliers on your behalf, so you’re not chasing payouts after your clients travel. “The fact that they chase our commissions for us is really unique,” says Fora advisor Kristin Staats.

You can book from your phone, and built-in CRM ensures each booking ties back to a client profile. For most independent advisors, that’s the appeal of a host agency platform: the booking tools are already connected to everything else you use and often included with your agency fee.

Frequently asked questions

Do travel agents need to buy their own booking software?

Most don’t. Most host agencies provide a booking platform with membership, which is how the majority of independent advisors book. You’re unlikely to need standalone booking tools unless you’re running your own travel agency.

How much does travel agent booking software cost?

For most advisors, nothing beyond their host agency fee. Agency fees range from $200–$600 per year. For example, the $299 annual ($99 quarterly) fee at Fora covers full booking software access in addition to training, community, and a complete set of travel business software. Standalone booking software subscriptions start at approximately $300 per year.

Can travel agents book travel from their phone?

Yes, when the booking platform supports it. Mobile booking allows you to confirm hotels and hold rates from anywhere.

Do travel agents book on the same sites travelers use?

No. Booking a client on a public consumer site earns no commission and comes with no industry support. Advisors book through supplier portals or a host agency’s platform, which pay commission and offer agent rates.

What’s the difference between booking software and a full travel agent software setup?

Booking software is just one piece of the technology you need to run a travel business. A complete travel agent software setup also covers client management, proposals, payments, and marketing. Many advisors get most of that from a single platform via their host agency or a third party provider.
